I take your privacy seriously—and I treat your information with the same care I give your dog.

Who I Am
I’m Fiona McLoughlin, the owner of Super Dog Training Academy, based in North East Edinburgh. This policy explains how I collect, use and protect your personal data, in line with the General Data Protection Regulation (GDPR).

What I Collect
To run my services smoothly and responsibly, I may collect:

  • Your name, phone number, address, and email

  • Your pet’s name, breed, health notes, and behavioural info

  • Emergency contact and vet details

  • Messages via email, social media, WhatsApp or my website

  • Photos of your pet (with your consent)

  • Booking and invoice information

I don’t collect or store any sensitive personal data like health records or payment details beyond what’s needed for invoicing.

How Your Information Is Stored
Your information is stored securely using:

  • Encrypted, password-protected cloud storage (Sync.com)

  • A secure, password-protected laptop and phone

  • Locked storage for any paper forms (shredded once scanned)

Only I have access to your data. It stays strictly between us.

Where It Comes From
I may collect your info from:

  • The contact form on my secure website

  • Direct messages (email, Instagram, Facebook, WhatsApp, text)

  • Client registration forms

  • Social media (e.g. if you tag or message me)

Why I Use Your Data
I only use your information for purposes related to providing safe, reliable care for your pet. That includes:

  • Booking and managing services

  • Contacting you during your pet’s care

  • Sending invoices and service reminders

  • Providing updates and photos (with your permission)

  • Meeting legal, tax, and insurance obligations

Legal basis for using your data:

  • To provide services: Contract

  • To share pet updates or photos: Consent

  • To meet legal obligations (like taxes): Legal obligation

I’ll never sell or share your information with third parties for marketing purposes. Ever.

How Long I Keep It

  • Invoices: 5 years (as required by HMRC)

  • Client records: While you’re an active client, or until you ask me to delete them

  • Pet photos: Until you ask me to remove them

If you haven’t booked a service in over 12 months, I’ll delete your records unless you’ve asked me to keep them on file.

Your Rights
You have the right to:

  • See the personal data I hold about you

  • Correct anything that’s inaccurate

  • Request deletion of your data

  • Withdraw consent at any time

  • Complain to the Information Commissioner’s Office (ICO) – ico.org.uk

If you’d like to exercise any of these rights, just send me a message or email. I’ll respond within 7 days.

Pet Photos on Social Media
I sometimes share photos of the lovely dogs and cats I care for—but only ever with your permission. ID tags are blurred out, and if you ever change your mind, I’ll remove the image straight away. Just ask.

What Happens If There’s a Breach
In the unlikely event of a data breach (on my end or via a third-party tool), I’ll notify you immediately and take action to limit the impact and secure your information.

Tools I Use
I only use trusted, GDPR-compliant services to help run my business, including:

  • Google Workspace (email)

  • Sync.com (secure cloud storage)

  • Facebook & Instagram (social media)

  • Hostinger (website hosting)

  • FreeAgent (invoicing and bookkeeping)
